Bring the example that helps choose the work

A first conversation becomes more useful when the example can change the proposed solution. “We need a better catalogue” leaves open whether the problem is product information, navigation or what happens after an enquiry. A representative request can expose the difference.

Suppose a fictional buyer asks for a product whose photograph appears on the English page but whose specification exists only in a Spanish document. Sales finds the specification and replies manually. That one exchange could reveal a missing translation, a missing document relationship or an unclear promise about what information the buyer can expect.

Show the sequence, not the entire database

Prepare the entry page, the customer's intended task and the point at which staff had to intervene. Replace private identities and sensitive details while preserving the relevant structure. Include the result the customer eventually received, because the workaround often reveals what the system is missing.

Describe what you know separately from what you suspect. “The product identifier was absent from the message” is an observation. “The integration lost it” is a possible cause which needs evidence. Keeping that distinction saves time when several systems are involved.

Identify who can answer the next question

A product editor can explain the specification. Sales can explain which information is needed for a quotation. The provider owner can confirm whether a supported interface is available. A project approver may not personally know any of those details.

Name the relevant people and which decisions they can make. The first meeting does not need every person present, but it should end with a clear route to the missing information.

Leave with a bounded next step

The result might be a content review, a technical assessment or a proposed first development scope. It should identify the question that step will answer and what material it needs. A long feature list is less useful if the central uncertainty remains untouched.

For the catalogue example, a good next step could examine five representative product records and the request received for each. That is enough to assess the information relationship before planning a full migration.
