Follow the enquiry that required an extra explanation

A workflow review is easiest to begin with a request that someone remembers having to rescue. Choose a permitted, suitably anonymised example. Reconstruct what actually happened rather than drawing the process everyone wishes had happened.

In this fictional exercise, a buyer enquires about a catalogue item, sales asks operations to confirm the specification, and another colleague prepares the quotation. The delay appears to be in quotation preparation, but the missing product revision was introduced earlier.

Build the sequence from evidence

Record the entry page, message, internal request and final quotation. For each transition, note what information the next person received and what they needed. Use timestamps only where their meaning is understood: a message being created is not the same as someone reading it.

The review is about the relationship between steps. A list of tools alone cannot show where the context disappeared.

Locate the first avoidable uncertainty

In the example, sales forwards the buyer's wording without the catalogue revision. Operations identifies a likely item and asks for confirmation. The quotation writer waits. Changing the quotation screen will not resolve the initial missing reference.

An appropriate improvement might preserve the selected product and relevant revision in the original enquiry. Another might be a clear manual forwarding rule if the volume does not justify development. Both should be judged against the same underlying uncertainty.

Include the correction

After identifying the product, the buyer changes the quantity. Determine whether that correction reaches the person preparing the quote and whether any earlier decision needs review. Do not assume that resolving the first missing field makes later updates safe.

Name the record that owns the current request. Copies used for notification should lead back to it or otherwise preserve the agreed relationship.

Test the proposed boundary

Run an ordinary request, one without a usable product reference and one corrected after staff review begins. Ask the receiving colleague to explain what is known and what remains unresolved. The desired result is less reconstruction, not simply more automatic messages.

Keep the original example as a controlled acceptance case. It makes the reason for the change understandable to the next maintainer. CRM connections covers technical transfers; the hidden-cost guide helps measure the work around them.
